Here we've outlined the process for invoicing for your services as an Independent Contractor with Yoga Mamas. You can come back to this page at any point.

Step One: Services Are Provided

The Independent Contractor provides services between the first and the last of the month. ​Example: Services are provided between December 1st, 2020 and December 31st, 2020.

Invoices must be emailed by the 5th of the month for the previous month's services. 

Keep track of your appointments and services in a google spreadsheet, excel etc. whichever process is easiest for you. 

Step Two: Checking Your Numbers

  1. Have your document of tracked services provided for the month open. 
  2. ​Run the payroll report in MindBody Online. *PLEASE NOTE: This does NOT include hst, if you charge hst you must add it to this amount*
  3. Compare these two numbers.
  4. If there are any discrepancies please make note in your invoice. 
  5. You can use the invoice template we have provided for you or upload your own.
  6. Do you charge HST? Add it to this amount. 
  7. Include your HST # on every invoice.

Step Three: Creating Your Invoice

  1. Please save the invoice file to include your first and last name, the month and year. Example: FirstLastDEC2020 
  2. Upload a copy of your invoice to your google drive payroll folder, or email a copy to [email protected] by the 5th of the month. 
  3. If you haven't been given access to this folder yet, please advise [email protected], and we will share your payroll folder with you. 

Step Three: Reconciling Your Invoice

  1. Are your numbers different than Yoga Mamas? Email [email protected] if there is a discrepancy you need clarity on. The Breakdown Monthly spreadsheet will be used to reconcile discrepancies. 
  2. Revisions must be reconciled by the 7th of the month. 
  3. Completed invoices submitted after the 7th will be included for the next month's payroll. ​​​

Step Four: Receiving Payment

Payments are delivered via e-transfer by the 23rd of the month for the previous month's services. 

Example: Dec 1st - Dec 31st, 2020 are paid by January 23rd, 2021.
